Recruiters hiring Virtual Assistants for US and global companies want proof that you can run someone's calendar, inboxes, documents and recurring operations without supervision, in US business hours, with clear written English. They scan for the tools their teams already use (Google Workspace, Microsoft 365, Slack, Notion, Asana, HubSpot, Zoom, Calendly), for the kind of work you handled (scheduling, email triage, data entry, travel, customer support, light bookkeeping), and for how many people or time zones you supported. Years of experience and measurable volume matter more than a long list of soft skills.
What changes compared with a local resume: drop the photo, date of birth, marital status and national ID; use US Letter format and US date style; write the job title in market English (for example Virtual Assistant or Executive Assistant, not a local translation); state your time zone and availability next to your location; and say clearly how you are engaged (independent contractor or through an Employer of Record). Recruiters also filter on the exact tool names they use, so mirror the job posting's wording.
What your resume must show
- State your current location with its UTC offset and your availability for US time zones (Eastern to Pacific) on the resume header.
- Name the exact tools from the job posting (for example Google Workspace, Slack, Asana, HubSpot) in the role bullets, not only in a skills list.
- Quantify your support work: number of executives or teams supported, volume of emails or meetings handled, or hours saved.
- Show your English level with a recognized proof (for example C1 by the CEFR scale with a test score or years of working in English).
- Make your engagement model clear, such as independent contractor or through an Employer of Record, so the client knows how you can be hired.

Common mistakes outside the US
- Listing a local job title that US recruiters do not recognize; use the market English equivalent (for example Virtual Assistant or Office Manager) and describe the duties in the bullets.
- Leaving out your time zone and overlap with US hours, which makes recruiters assume you cannot join their schedule; put UTC offset and available hours in the header.
- Writing generic duties like 'responsible for admin tasks'; replace them with concrete actions, tools and numbers, such as 'managed calendars for 4 executives across 3 time zones in Calendly and Google Calendar.'
- Using a European CV format with a photo, personal data and a long objective statement; remove them, use US Letter, and keep the resume to one or two pages.
- Describing the English level vaguely as 'good English'; give a CEFR level and proof, such as a test score or a note that you have worked in English daily for several years.

Do I need a US address or a US bank account to work as a Virtual Assistant for a US company?
No. Most US clients hire international contractors directly by invoice in USD or EUR, or through an Employer of Record such as Deel or Remote, which handles contracts, payments and local compliance. Ask the client which option they prefer and mention your preference in your profile.
Should I write my resume in US English even if my previous jobs were in another language?
Yes. Write the whole resume in US English, translate job titles into market English, and keep the original company names. Add a short note in the bullets if your duties were performed in a language other than English, since that shows bilingual capability.
How long should a Virtual Assistant resume be for a US client?
One page for fewer than 5 years of experience, two pages at most for senior profiles. Recruiters spend under a minute on the first screen, so put your headline, time zone, tools and most relevant results at the top.
